Effective date: July 08, 2015
Last updated: October 20, 2026

ProLogics Tech LLC (“ProLogics,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose and protect personal information when you visit ProLogicsTech.com, contact us, request a consultation or use our services.

Our services include AI automation and integration, business process automation, CRM and workflow integration, custom digital solutions, and web and app design and development.

1. Who is responsible for your information

ProLogics Tech LLC is responsible for personal information we collect and use for our own business purposes, including website enquiries, prospective client relationships, billing and marketing. Where applicable law uses this term, we act as the data controller for that information.

When we process personal information on behalf of a client, our role and responsibilities are addressed in Section 8.

You can contact us about privacy at info@prologicstech.com. Our business mailing address is 7901 4th St N, STE 300, St Petersburg, FL 33702, US.

2. Information we collect

Information you provide

Depending on your interaction with us, this may include:

  • Your name, email address, telephone number and company details.
  • The service you are interested in, your project requirements and messages submitted through our forms.
  • Consultation bookings, correspondence, feedback and support requests.
  • Information provided during a project, including files, business records and authorised access to connected systems.
  • Billing details, invoices and payment status. Where an external payment service is used, it handles payment credentials under its own arrangements.

Fields marked as optional do not need to be completed. Without information needed to respond to an enquiry or deliver a service, we may be unable to fulfil your request.

Information collected automatically

Our website and its hosting or security providers may collect IP addresses, browser and device information, pages visited, referral sources, interaction times and diagnostic or security logs. Cookie-related collection is explained in Section 6.

Information from other sources

We may receive information from platforms through which you contact us, submit a lead form or book a meeting, and from systems a client authorises us to connect. The information received depends on the platform, permissions and purpose of the interaction.

Please do not submit passwords, payment card details, government identification documents, health information or other sensitive personal information through general enquiry forms. Any project requiring sensitive information should first have appropriate handling arrangements agreed.

3. How and why we use information

We use personal information to:

  • Respond to enquiries, arrange consultations and prepare proposals.
  • Plan, deliver, maintain and support projects.
  • Connect authorised platforms, synchronise records and operate agreed workflows.
  • Manage client relationships, appointments, invoices and payments.
  • Send requested information and permitted marketing communications.
  • Understand website performance and improve our services.
  • Maintain security, prevent misuse, resolve disputes and meet legal obligations.

Where applicable law requires a lawful basis, we rely on:

  • Contract or steps requested before a contract: to provide services to an individual client or consider their request.
  • Legitimate interests: to communicate with business representatives, manage commercial relationships, protect systems and improve operations, where those interests are not overridden by individuals’ rights.
  • Consent: for processing that requires permission, including certain marketing communications and tracking technologies.
  • Legal obligations: for required accounting, tax, regulatory and other records.

We do not treat visiting our website or submitting an enquiry as blanket consent to unrelated processing or marketing.

4. AI tools and automated workflows

Where enabled, we may use AI and automation to organise enquiries, summarise information, generate draft responses, route requests and support agreed client workflows.

Lead assessments may use information such as the service requested, company details and previous interactions to estimate relevance and prioritise follow-up. This can affect when or how a lead is contacted. You can contact us to ask about an assessment involving your information or request human review.

Where an AI provider processes personal information, the information sent, retention arrangements and permitted uses depend on the service, configuration and applicable agreements. Contact us for details about AI processing used in your project.

If we introduce solely automated decisions with legal or similarly significant effects on individuals, we will provide the information, lawful basis and safeguards required by applicable law.

5. Marketing and communication choices

We may send service information or marketing communications where permitted by law, obtaining consent where required.

You can object to direct marketing at any time. Use the unsubscribe link in a marketing email or contact info@prologicstech.com.

If you opt in to SMS or WhatsApp communications, we use your number and consent record for the messages described when you opt in. You can withdraw consent using the instructions provided, including replying STOP to SMS messages where supported, or contacting us.

Messaging consent is not transferred to other businesses for their independent marketing. Messaging providers may process relevant information to deliver communications on our behalf.

An email marketing opt-out does not automatically cancel separately requested service communications. An SMS opt-out will be respected for the affected messaging channel. We may retain a minimal suppression record to honour your preferences.

6. Cookies and similar technologies

Our website may use cookies or similar technologies for essential functionality and security and, where enabled, analytics, embedded content or advertising.

Where consent is legally required, we request it before activating the relevant technology. You can manage or withdraw consent through available website privacy controls and manage cookies in your browser. Blocking some cookies may affect functionality.

Any cookie notice or settings presented on our website should be read alongside this Policy. Relevant disclosures identify the technologies actually used, their purposes, providers and duration.

7. When we disclose information

We may disclose personal information to:

  • Authorised team members and contractors who need access for their work.
  • Service providers supporting hosting, security, CRM, automation, AI processing, communications, scheduling, payments and business administration.
  • Client-authorised platforms where disclosure is needed for an agreed integration or project.
  • Professional advisers or public authorities where reasonably necessary for advice, legal obligations, lawful requests or protection of legal rights.
  • Parties to a business transaction, such as a merger or acquisition, subject to appropriate confidentiality and legal protections.

Depending on the systems actually deployed, providers may include but not limited to Hostinger, HubSpot, GoHighLevel, Make.com, n8n, Zapier, Brevo, Twilio, Slack, Calendly, Stripe, Google services and OpenAI. Tools shown on our website illustrate available capabilities; actual data recipients depend on the interaction or project.

Where providers process information on our behalf, we use appropriate contractual arrangements addressing its use and protection. Providers acting independently may also process information under their own privacy notices.

Sale and advertising-related sharing: ProLogics Tech LLC does not sell your personal information to third parties.

8. Personal information processed for clients

Clients may engage us to access or process information about their customers, leads, employees or other contacts.

For processing performed on a client’s behalf, we act under the client’s documented instructions and applicable service agreements, including a data processing agreement where required. The client generally determines the purposes of that processing and is responsible for the associated privacy notices and lawful instructions.

If your information is handled through a system we operate for another business, contact that business about its use of your information. If you contact us, we will assist or refer your request as appropriate to our role and legal obligations.

9. International processing

Our personnel and service providers may process information outside your country of residence, where privacy laws may differ.

Where applicable law restricts a transfer, we use a permitted mechanism, such as an applicable adequacy decision or approved contractual safeguards, including relevant EU Standard Contractual Clauses or UK transfer arrangements where appropriate.

Contact us for information about the processing locations and safeguards relevant to your information, or to request a copy of applicable safeguards, subject to necessary redactions.

10. How long we retain information

We retain personal information for as long as reasonably necessary for its purpose, taking account of legal requirements and applicable agreements.

  • Enquiries and proposals: while addressing your request and conducting relevant follow-up.
  • Client and project records: during the engagement and as needed for agreed support, handover, contractual obligations or legal claims.
  • Invoices and financial records: for applicable accounting, tax and legal retention periods.
  • Marketing records: while there is an appropriate basis for contact, with limited records retained to respect opt-outs.
  • Technical and security logs: for the period needed to maintain systems, investigate incidents and prevent misuse.

When information is no longer needed, we delete or anonymise it. Backup copies may remain until scheduled replacement or deletion and are not used for ordinary business processing.

11. Information security

We use reasonable technical and organisational measures appropriate to the information and processing involved to reduce the risk of unauthorised access, loss, misuse or disclosure.

No internet transmission or storage system is completely secure. If a personal information breach occurs, we will assess it and notify affected individuals or authorities where legally required.

12. Your privacy rights

Depending on your location and applicable law, you may have the right to:

  • Receive information about our collection, use and disclosure of your personal information.
  • Request access to, or a copy of, your information.
  • Correct inaccurate or incomplete information.
  • Request deletion, subject to legal exceptions.
  • Restrict or object to certain processing.
  • Receive certain information in a portable format.
  • Withdraw consent without affecting processing lawfully carried out before withdrawal.
  • Opt out of certain sales, advertising-related sharing, targeted advertising or profiling, where applicable.
  • Request applicable safeguards concerning automated decisions.
  • Complain to a relevant data protection authority.

To make a request, email info@prologicstech.com. We may request information reasonably necessary to verify identity or authority where permitted. We will respond within the period required by applicable law and explain any applicable refusal or limitation.

Where required, we recognise applicable browser-based opt-out signals, including Global Privacy Control. Where law provides a right to appeal a privacy request decision, you can contact us to request an appeal. We do not unlawfully discriminate against people for exercising their rights.

13. External websites and services

Our website and communications may link to external websites or services. Their operators are responsible for their own privacy practices. Review their privacy notices before providing information directly to them.

14. Children’s privacy

Our website and business services are intended for an adult business audience and are not directed at children. If you believe a child has provided personal information to us without appropriate authorization, contact us so we can investigate and take appropriate action.

15. Changes to this Policy

We may update this Policy to reflect changes in our services, practices or legal requirements. We will post the revised version and update the date above. Where required, we will provide additional notice or obtain consent before materially changing how we use previously collected information.
